Process Observer
Annette reminded all present to be mindful process observers. All present agreed.
Staff Liaison Reports
Sally reported Adriane asked that we look at the cost of living increases when we begin next year’s budget planning. She also has food bags to give out for those who are in need.
Kim reported Valerie would appreciate those who are volunteering for future services be on time with requests and planning regarding staff schedules and other needs for services.
Annette reported Adriane is taking the Wednesday before Thanksgiving off. She is also going to give evaluations of her staff in February. Alessandra has already completed evaluations of her staff.
Annette also noted that Adriane is very aware of safety concerns while alone on campus. She locks her door and has an “escape plan” in place. She also tries to only be in office on campus while Les is also on campus.
Someone has dropped off insurance information to Adriane regarding medical/health insurance options for those who are experiencing insurance cost increases.
Sexton Position(s)
Annette reviewed our previous discussions of the second sexton position. She also mentioned Adriane is in agreement with the benefits of having two sextons.
Ken stated the Finance Committee is also in agreement and that they estimate it would have about a $15,000 fiscal impact.
Annette motioned to accept the second sexton position and revise the first sexton position and then pass it on to the Finance Committee.
● Kim – seconded the motion
● All – approved
○ Motion passed
Pastoral Care
Sally discussed there are members of the congregation in need of professionals to speak with. Historically, they would bring their needs to the minister but, since we don’t have a minister at the time, there needs to be someone available for pastoral care. She wonders if we could have someone contracted with us for certain days, times, and/or hours. We would need to find out how many days and/or hours have been needed in the past and how much this would cost.
Ken and Kim recalled the previous pastoral care budget was somewhere between $5,000-$8,000.
Annette has looked to the UUA for guidance and they say it would be beneficial to have several people available. They recommend looking to Hospital Chaplains. However, if we had volunteers, they would need to have a very clear understanding of boundaries, procedures, policies, and protocols. Ministers from other churches have also been available for pastoral care via Zoom. The UUA also has some training available for providing pastoral care.
Sally noted providing care online could be an option but that it would also be beneficial to have someone local so they are more aware of local resources available.
More discussion was had regarding past and future budgeting for pastoral care. Ken reminded us the operating budget requests are due January 15th, 2026. This will give the Finance Committee an idea of what is needed and what to ask for come February/March. In April there will then be a more
solidified budget plan. May 24th, 2026 is the final budget deadline. If, for some reason, that final budget is deemed insufficient, then they have the month of June to iron it out.
Kim is going to reach out to UCC (The United Church of Christ) for potential interest and/or guidance regarding pastoral care.
Sally is going to reach out to David Wheeler, Hospital Chaplain, for interest and/or guidance as well.
UUCT Insurance
Ken reached out to a couple local insurance companies regarding property insurance. One responded and they are currently working on a quote for us. They also advised us to be cautious about potentially switching our liability insurance as well due to how our previous policy may have been written. Ken will reach back out to them on Tuesday if he hasn’t heard back by then.
Finance Committee
Annette motioned to approve the 2026-2027 Budget Calendar and Budget Request Form.
● Sally – seconded
● All – approved
○ Motion passed
Personnel Committee
Annette discussed Greg DeAngelo’s resignation as Chair of the Personnel Committee. Ken said Jennifer Carver, a member of the committee, is willing to participate in budget processes. Ken is in communication with Greg regarding past and current processes. Greg has recommended looking to the UUA for further guidance as well as the importance of those willing to canvass this year.
Manual of Policies and Procedures (MPP)
Sadie discussed revisiting our plan for revising the MPP. All agreed we need a clearer idea of a “jumping off point” from which to tackle this document.
Ken said Gwendolyn sent him the Finance section to look through.
Sadie will reach out to Gwendolyn to clarify which sections they would like us to go through first. Annette will begin going through the MPP and marking things up.
Our goal is by the end of December/beginning of January to begin actively revising the MPP to be more concise, accessible, and accurate.
Quarterly Recognitions
Annette discussed plans for quarterly recognitions for volunteers and for honoring those in the congregation who have passed. Perhaps we could hold a service on stewardship where we honor time and talent. We will further discuss this at the December Board Meeting.
Updates
Sally is willing to be a part of this year’s Canvass Committee. We will put the need for more volunteers in the announcements. The committee will need to be formed by January.
We will also need folks for the personnel committee. Annette is in talks with someone to possibly serve as Chair.
Annette will keep us posted regarding UUA Leadership Trainings.
